Your details, and what we do with them
The pool is run by volunteers from Cust Community Swimming Pool Inc. This is the plain-English version of what we collect, why, and who sees it.
What we collect
When you buy a season key we ask for your name, email, phone number, and (for a family key) your address. You can also tell us who's in your household, whether you'd like to help out, and whether you'd like pool news by email. We record which version of the pool rules you agreed to, when, and the internet address it was sent from.
When you buy a tea towel we keep your name, email, phone and, if it's being posted, your delivery address.
If you pay by card, your card details go straight to Stripe, our payment processor. They never touch our website and we never see them. If you pay by internet banking, we see what your bank shows us: the name on the account, the amount, and the reference you used.
Why
- To record your membership, match your payment, and hand you the right key.
- To contact you about your membership and the pool: collection times, the rules, anything that affects your season.
- To get in touch about volunteering, only if you ticked a box saying you'd help.
- To send you pool news by email, only if you ticked that box. Every one of those emails has a way to stop them.
- To post your tea towels to you.
We don't sell your details, share them with advertisers, or use them for anything not listed here.
Who sees it
The committee members who look after memberships and orders. That's a handful of local volunteers, and they can only see it after logging in.
Behind the scenes, the services that run this site handle it on our behalf: Stripe (card payments), Mailgun (the emails we send you), and Netlify and GitHub (the website and the private store where your record is kept). Each of them is bound to keep it secure and use it only to provide that service to us.
How long we keep it
Membership records are kept for the current season and the two after it, so we can pre-fill a renewal and answer any questions about a past season, and then deleted. Tea towel orders are kept until the towels are delivered and any queries are sorted, and for two years after that for our accounts.
Your rights
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email custpool@gmail.com and a committee member will come back to you. If we can't delete something because we need it for our accounts, we'll tell you what and why.
If you're not happy with how we've handled your details, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
